1. Scope and order of precedence
This policy applies to electronic components and related sourcing services sold by Wuhan US-CHIP Electronics Technology Co., Ltd. to business customers.
Product-specific terms confirmed in a quotation, pro forma invoice, accepted purchase order, or signed agreement take priority over this general policy. Applicable mandatory law continues to apply.
2. Quality basis confirmed before order
Part number, manufacturer, package, quantity, date-code requirement, condition, traceability documents, inspection scope, acceptable alternatives, and any commercial warranty must be confirmed in writing before order acceptance.
Catalog data, reference stock, reference price, and reference lead time are not final commitments. Brand authorization, COC, test reports, and manufacturer traceability are included only when expressly confirmed.
3. Receipt inspection and notice
The buyer should inspect the shipment promptly after receipt. Quantity shortage, wrong model, visible packaging damage, or other outward non-conformity should be reported within five business days.
A suspected functional, latent, or reliability issue should be reported promptly after discovery within the inspection or warranty period agreed for the order. A short visible-inspection period does not limit latent-defect or mandatory legal rights.
4. Information required for a quality report
A complete report helps isolate the affected lot and prevents delay. US CHIP may request reasonable additional evidence needed for verification.
- Order, quotation, or pro forma invoice number; part number; quantity received and quantity affected.
- Package labels, lot/date-code information where available, clear photos or video, and a description of the failure.
- Incoming-inspection, test, programming, or failure-analysis records, including test conditions and failure rate.
- Storage, MSL, ESD, assembly, reflow, handling, and application conditions relevant to the reported issue.
5. Quarantine and evidence preservation
Stop using the suspected units, separate the affected quantity, and preserve original labels, packaging, reels, trays, moisture-barrier materials, and representative samples.
Do not return goods, mix lots, remove identifying labels, or perform destructive testing without written coordination when those actions could prevent verification.
6. Return authorization and non-quality returns
No return is accepted without a written RMA or equivalent return instruction. The authorization identifies the approved quantity, destination, packaging, shipping method, and supporting documents.
Project cancellation, excess purchasing, price changes, customer design changes, or compatibility preferences are not quality defects and are not automatically eligible for return. Any commercial accommodation must be separately agreed in writing.
7. Verification and third-party testing
US CHIP may review records, inspect returned samples, compare retained samples, consult the upstream source, or coordinate an independent laboratory when appropriate.
Laboratory, freight, and handling costs will be allocated according to the confirmed result, the order terms, or a written agreement made before testing. Testing scope and sample chain of custody should be agreed in advance.
8. Remedies and commercial warranty
After a non-conformity attributable to the supplied goods is verified, the available resolution may include replacement, repair where technically appropriate, credit, refund for the verified affected quantity, or another written solution agreed by both parties.
No fixed commercial warranty is implied unless a warranty period and scope are confirmed in writing. The absence of an additional commercial warranty does not remove responsibility imposed by applicable law for non-conforming or defective products.
9. Conditions not attributable to supplied quality
A claim may be declined to the extent evidence shows the issue was caused after delivery by circumstances outside the supplied product's confirmed condition.
- Improper storage, moisture exposure, ESD, contamination, mechanical damage, relabeling, repacking, or mixing of lots.
- Soldering, reflow, programming, rework, decapsulation, destructive analysis, or operation outside published or agreed limits.
- Customer design, PCB layout, firmware, compatibility, counterfeit samples not supplied by US CHIP, or failure to follow manufacturer handling guidance.
10. Transport, safety, and applicable law
Transit responsibility and insurance follow the written shipping term or agreed Incoterm. Visible carrier damage should be recorded with the carrier and reported to US CHIP without delay.
Nothing in this policy excludes liability that cannot lawfully be excluded, including duties concerning unsafe products, intentional concealment, fraud, gross fault, or other mandatory product-quality obligations. Disputes are handled under the governing contract and applicable law.
